Fleet Management
You haven't been added as a driver yet, so you can't book a vehicle
out. Ask a fleet admin to add you on the
Drivers & Fuel Cards tab (name, licence details and
fuel card), then refresh this page. You can still report a defect.
Compliance alerts
MOT, insurance and road tax, driving licences and CPC, and fuel card expiry — anything
overdue or due soon. Press a row to file the certificate and move the
date in one go.

Who has what
Every vehicle that is with somebody — the one it is permanently assigned to, or whoever
has booked it out today. A van booked out to somebody else overrides its usual driver,
because that is who has the keys.

Book a vehicle out
Walk round it with whoever is taking it, fill the form in, and book it out. Bringing one
back is on the Book In tab.
Vehicles out with somebody
Every open booking. Book in records the date, the odometer and the
condition it came back in, and puts the vehicle straight back in the pool.

Compliance documents
Every certificate, renewal and note filed against a vehicle or a driver — MOTs,
insurance, road tax, licences, CPC and fuel cards. Added from a compliance alert on
the dashboard, which files the document and moves the date in one go.

Notification settings
These addresses are emailed automatically whenever a vehicle check records a defect. Leave either blank to skip emailing that group.
Import the fleet workbook
Reads the first-pass spreadsheet in SharePoint and shows you what it would change before
anything is written. Nothing is deleted and no field is ever blanked — a column left
empty in the workbook means "not known yet", not "clear it".
Book out the vehicles people already have
The imported register says who has each vehicle, but that is only true of today — it
carries no history and the dashboard can't tell you a van is out. This books each one
out to the person the register names, as of today, and from then on booking it back in
and out again is what builds the history. Running it twice changes nothing.
History
Every vehicle, driver and fuel card that has been deactivated or deleted, and why.
A deleted record has a copy of itself kept here — "copy kept" on the row.

Clear the test data
Deletes every vehicle, driver, booking, mileage log, fuel log, defect, vehicle check and
incident. It cannot be undone — there is no bin to fish them back out of.
The notification settings and who has access are left alone.
This is for getting the test data out before the real data goes in. Once there are real
records here, retire or deactivate instead — see the Vehicles and Drivers tabs.
